To enter the venue on the build-up days for the standbuilders for space only, you will need an Build-up Badge. Please note that you will need a security shoes as standbuilder. HOW TO GET THERE

 

By train

Railway station Amsterdam RAI is 300 meters from the RAI and has direct connection with Schiphol, Amsterdam Central Station, Duivendrecht, Amsterdam Amstel and Amsterdam Zuid (South) Railway Stations, which are all linked to the international InterCity network. Follow the signs RAI Amsterdam when you leave the station.

 

By tram, metro and bus

Underground, Metro 52 will take you from Amsterdam Centraal Station or Station Zuid to RAI Amsterdam. You get off the Underground RAI Metro Station at the 'Europaplein Station' and exit in front of RAI Venue. Metro 50 runs between Amsterdam Sloterdijk and Gein and stops at Train Station Amsterdam RAI. From Station Amstel you can reach us by Metro 51 (Station Amsterdam RAI), bus 62 (stop Europaplein) or bus 65 (stop Scheldeplein).

 

By car

Directly on approaching Amsterdam via the highway A1, A2 or A4 and entering the Ring Road (A10), the RAI is indicated on the sign boards. RAI Amsterdam is located along-side the Ring Road (exit 9). From the exit the route to the RAI car parking is indicated.

 

Amsterdam Airport Schiphol

Amsterdam Airport Schiphol, the largest airport in The Netherlands, is by car of public transportation located less than 13 minutes from the RAI. The RAI can be reached fast and easy by train from Amsterdam Airport Schiphol. You can buy your train ticket HERE.

 

Taxi

To guarantee the quality of our taxi service and for logistical reasons, we only allow TCA taxis on the premises to pick up visitors. At many events there will be a special TCA taxi stop on the RAI site. If this is not the case, our reception staff will be happy to help ordering a TCA taxi. You can order your taxi HERE.

If you would like to use another taxi, then the pickup point will be outside the RAI area.

During the Exhibition:

Vehicles up to 1.90 m can park in our garages. Vehicles up to 2.70 m can park in garage P4.
Vehicles above 2.70 m and/or longer than 6 m can park on the daytime car park for lorries.
Report to the security gate on the P5 work deck and the parking attendant will show you your parking spot.

Parking during build-up and dismantling is done according to a reservation system of the RAI. Each exhibitor/stand builder can book a time slot for loading and unloading. 

 

Advantages:

- Book the time slot that is most convenient for you

- No queuing in and around the RAI

- Driver does not have to search, your truck will be sent directly to the reserved loading and unloading location.

- Efficient staff scheduling, you know when the goods will arrive

Passenger cars can enter and unload at Parking P9, next to Hall 5 without having to book a time slot.

During build up and dismantling: 

During build-up and breakdown, it can be quite busy with cars, vans and trucks. That is why it is very important to follow the instructions on the signs and from the traffic controllers.

General Terms & Conditions

 

Max. speed

The maximum speed permitted on the exhibition grounds of RAI Amsterdam is 10 km/h.

 

Service elevator

In parking facility P1, 3 & 4 is a service elevator present, these elevators bring your supplies to hall 8-12.

 

Taxis

Every taxi company can bring you to the RAI. However we only allow TCA taxis on the premises to pick up visitors.

 

Please note

  • If you bring vehicles of any kind onto the exhibition grounds of RAI Amsterdam you do so at your own risk and you must have a valid permit, access pass or build-up badge. During the event you do need a valid parking ticket to leave the parking facility.
  • Instructions by employees of RAI Amsterdam must be followed.
 

Towing arrangement

RAI Amsterdam reserves the right to remove vehicles which are parked illegally or when (un)loading time is expired, at the cost and risk of the person responsible for parking/stopping.

 

Liability

RAI Amsterdam disclaims all liability for accuracy of the information provided and reserves the right to make changes in traffic management at short notice in response to external traffic conditions.

Furniture and Electricity orders can be made until one week before the exhibition. In case you want to order after that, you can do so on site at our organizers office. Please note that prices on site are higher than if you order online.

In case you want to arrange your own transport, you can get in touch with Schenker Logistics so that they arrange the delivery from the warehouse until your stand.

In case you want to arrange the full delivery until you stand, please make sure to be there at the delivery (have a look at the opening times). In case you are not present at the delivery, the delivery will have to be accepted by Schenker Logistics and put into storage (please note, this will have extra costs).

Due to security reasons, it is not allowed to use your own forklift or any other motorized vehicle. Therefore, in case a forklift is needed for unloading, please make sure to rent it via Schenker Logistics. Otherwise please unload manually.

 

Do you need to store some chilled/frozen goods during the exhibition, please get in touch with Schenker Logistics for more information about the shared freezer, fridge.

 

Delivery through DHL/UPS etc. :

You can deliver some boxes via a courier, however make sure to inform them well enough where to deliver and to inform you directly when they arrive. 

 

Please note that we as organizers and the venue do not receive or take any responsibility on materials that arrive to the show venue. 

If you wish to hire staffing for support at your stand, you can contact operations@ebcexpo.com with your request.

Please let us know how many persons you would need and which languages they should speak.

 

Food samples: 

Sampling and food tasting are allowed within the below conditions. However, it is forbidden to sell food products.

Cooking on the stand: 

Cooking in the stands is allowed, however you will have to complete and send the below two forms to the RAI.

- Download HERE the Fire Regulations Exemption Form.

The RAI will contact you in case you need to order a fire extinguisher.

BE AWARE All facilities, buildings, signs and others that the exhibitor has not withdrawn, the organizer will dispose of them without refund or payment to the exhibitor and the exhibitor will lose all rights to those.

 

 

REGULATIONS:

When building your own stand, please check below rules: 

- if your wall is higher than 2.5m, make sure to finish off the backside of the wall

- order waste containers in our webshop for the build-up and dismantling waste

- you cannot connect direclty to the electricity boards in the hall

- it is not allowed to decorate or put any signage on the pilars in the hall. 

- use security shoes

- print your personal contractors pass to enter the venue

 

 

SPACE ONLY: Personal Contractor Pass (Build-up & Dismantling).

You can register and download for the contractor pass HERE. You can either print it or have it on your phone. 

You need a valid ID/Passport document (no driving license) for registration and when entering the venue (use the same document as when registering). 

Your contractor badge is only for build-up and dismantling period. If you want access during the show days, please register an exhibitor badge. 

You can use the same badge for dismantling.

In case you are only the driver to deliver some goods, you also need the contractor pass printed or on the phone.

RAI Safety Rules:

Safe and secure in RAI Amsterdam during event setup and breakdown

1. Access

RAI Amsterdam is only accessible to people in possession of a valid access pass.

2. Safety shoes

Approved safety shoes must be worn during the stand set-up and breakdown periods.

3. Safety helmet

An approved safety helmet must be worn when the safety sign is on in the exhibition halls.

4. Smoking, alcohol and recreational drugs

Smoking, drug-taking and the consumption of alcohol are prohibited.

5. Emergency exits

  • The emergency exits and yellow traffic routes should always be kept free of obstructions.
  • The emergency exits should only be used in emergencies.

6. Fire extinguishers

Fire extinguishers should always be kept accessible.

7. Working at heights

  • Persons working at heights above 2.5 metres on a mobile scaffold or an aerial lift must be attached by a safety line.
  • It is not allowed to work on a ladder at heights above 2.5 metres for more than two consecutive hours. In these situations a mobile scaffold or an aerial lift should be used.

8. Transport

  • The maximum transport speed is 5 kilometres per hour inside and 10 kilometres per hour outside.
  • The forks of a forklift truck that is in motion may not be more than 15 centimetres above the ground.
  • A forklift truck may not be used to transport or lift persons.
  • It is forbidden to make telephone calls while operating a means of transport.
  • Only trained personnel have permission to operate a forklift truck.

9. Young people

Persons under the age of 16 years are not allowed into the RAI during the setup and breakdown periods.

10. Materials and tools

Only approved (i.e. CE certified) machines and tools may be used.

Do you want to give extra attention to some of your best relations, most important customers, you can invite them to register as VIP visitor, and give them access to the VIP Lounge. To find out how your stand is looking like, please have a look at your booking confirmation, on the document you will see which stand construction you have. Once you know which stand you did book you can have a look at: Prepare Your Stand > Stand Construction.

To know the size of your stand is please look at your booking confirmation, there you will find the amount of square meters that you booked. In case you can not find it, please contact operations@ebcexpo.com.

On your booking confirmation you will see which of the different stand orientations you have. You can also check it by looking up your stand number in our floorplan, you will be able to see which side(s) are facing the hallways (in grey).

Row stand (green): a stand between two other stands, meaning that you have three walls.

Corner stand (blue): a stand which is at the end of a row, but which has a stand behind it. This means that you would have 2 walls and two sides open.

Head stand (yellow): a stand at the end of a row with three sides open and one backwall.




 

If you have a stand build by us (standard, fully fitted, newcomer, start up, sea weed, country pavilion) You can start decorating your stand on the 20th of November from 14.00 to 23.00. Make sure to bring your Build-up Badge to enter the venue. 

If you booked space only, your stand constructor can start building on Sunday 19th of November at 14:00 and on Monday 21st of November. Dismantling is possible from Wednesday and Thursday. To enter the venue the stand constructor needs a build-up & dismantling badge.

 

More information can be found in the tab "Prepare your stand" > "BUILD UP & Dismantling".

Security shoes are mandatory. We also advise you to bring a helmet and a reflecting vest. This is regarding all stand contractors entering the hall before Monday 14:00.

Furniture, Graphics, Shelves ordered from our Webshop will be delivered by our supplier on Monday before 14:00pm. In case you do not have the furniture or graphics in your stand by Monday 15:00pm please go to the organizers office to let us know.

In your stand there will be a paper with a checklist with what you ordered, you will see what has been delivered, and what still needs to be delivered.

 

In case you need more furniture you can order it at our organizers office on site.

To indicate the position of the shelves, you have to fill in the shelve position form, which you have received by us. Once you have completed the form, please send it back to operations@ebcexpo.com

Please note: No shelves can be placed in the corners. Per wall (panel) max 3 shelves (1 meter).

Newcomer, Start-Up, Seaweed stand: 1 pendel spot

 

In case you want to order more, please do so in our Webshop.

If you have a stand build by us (standard, fully fitted, newcomer, start-up, seaweed, country pavilion) your company name will be placed on the front of the stand on a white board with black letters. You can update/fill in your company name in the tab "Your Company". 

We use the same name for the fascia as for the Exhibitors List (online and offline). 

For the Newcomer & Start-up stand you have a maximum of 30 characters. 

All Exhibitors have 1.1KW Daytime electricity (only during the day) with one socket included in the stand. The electricity will be on from Tuesday till Wednesday. In case you want to have more electricity/sockets, on monday or 24h electricity, please order it in the Webshop. 

 

Please note: If you have a fridge/freezer, order 24h electricity to keep your goods cooled during the night. 

1.1KW would be enough for the spotlight and to charge a phone or laptop, in case you need to connect more devices we highly recommend to order more power in the webshop. 

 

In case you need to have electricity during build-up and dismantling, please order the build-up/dismantling electricity. 

 

You can update your name, logo, product image and description in the tab "Your Company". Make sure to update your information before the 15th of October, to be sure to have the updated info before the Exhibition.

All updates after the deadline are not guaranteed to be in the printed flyer and signage, however it will be updated at any time in the Online Exhibitors list.

In the Toolbox you can also find some Social Media templates to post and share your participation on your social media accounts. 

 

You can promote your participation by the doing the following actions:

 

- Share your stand number using the personalized email banner, which you can download in "Promote your stand".

- Share your participation on your social media, using the templates which you can find in the Toolbox under "Promote your stand". 

- Share our posts on your own social media. We often post about Exhibitors and tag them in the post, this offers more visibility. 

- Go to LinkedIn and attend the event, to show your connections that you are going to the Exhibition. 

- Ask us to post about your company, you can ask by sending an email to visiting@ebcexpo.com. 

- Have a look at the Marketing Opportunities (Online catalog ad, online homepage banner etc.)

- Complete/update your company profile in "Your Company", to update the info on the Exhibitors list. 

 

You can personalize your stand by:

 

- Ordering wall graphics in our Webshop (panel graphics or seamless wall graphic)

- Ordering desk graphic in our Webshop (front or all sides of the desk)

- Ordering Fascia graphic in our Webshop

 

You can also bring your own posters, but make sure to remove it when leaving the Exhibition otherwise we will invoice you for cleaning costs. 

You can send the artwork for the graphic (wall, desk or fascia graphics) to operations@ebcexpo.com. Make sure to do so before the deadline to make sure it is printed on time. If received after the deadline we will try our best to have it printed on time but there will be no guarantee. 

Send the artwork in PDF with a 1:1 scale, without trim marks or bleed. Always use CMYK-colors or PMS Solid Coated colors (black made out of CMYK: c40 / m40 / y40 / k100. Make sure that all text/fonts has been converted to outlines.

Make sure to send us an illustration or a render to show where you want to have the graphics, on which wall (in case of wall graphics).

In case you want to arrange your own transport, you can get in touch with DB Schenker so that they arrange the delivery from the wharehouse until your stand.

In case you want to arrange the full delivery until you stand, please make sure to be there at the delivery (have a look at the opening times). In case you are not present at the delivery, the delivery will have to be accepted by DB Schenker and put into storage (please note, this will have extra costs).

Due to security reasons, it is not allowed to use your own forklift or any other motorized vehicle. Therefore, in case a forklift is needed for unloading, please make sure to rent it via DB Schenker. Otherwise please unload manually.
